Summary

OnlineHomeBase let's you store and retrieve notes and other text information in your password-protected OnlineHomeBase account. Think of it as your nest on the Web where you can dump anything you may need to access from anywhere, anytime. OnlineHomeBase is different from other Web-based notepads in how easy and straight-forward it makes accessing, organizing and updating your information. OnlineHomeBase offers unique features. For instance: OnlineHomeBase actually "understands" what yo mean when saving a phrase like "Remember to call John;; Monday at 3pm" (it will know to email you the phrase at the specified time). OnlineHomeBase let's you create easy-to-remember Web addresses that can be used for sharing OnlineHomeBase sheets in read-only or read/write mode (see www.onlinehb.com/mygrocerylist/ for example). It's useful for group collaborations.

The service is called OnlineHomeBase, but you can also use "1q11.com" -- a fast-to-type shortcut (the "1" and "q" keys being neighbors on your keyboard).

Basic functions

OnlineHomeBase is as easy and fast as it gets. All important functions are visible in the OnlineHomeBase menu bar (moving the cursor over any of the menu bar links / buttons will display a short explanation of the function):

  • Click the NEW button to create a new work sheet for notes, memos, reminders or love letters. You can create as many sheets as you want.
  • Click the SAVE button (or CTRL-SHIFT-S) to save any text after you have entered it in your sheet.
  • Switch between sheets by selecting from the drop down menu to the right of the save button.
  • Click the DELETE link to, you guessed it, delete the currently displayed sheet.
  • Click the RENAME link to rename the currently displayed sheet.
  • Click the UPDATE link to load the most recently saved version of this sheet (for instance, in case you made changes to it while working on a different computer).

Is this easy or WHAT ???

Anytime you go to OnlineHomeBase.com, the system will automatically display the work sheet you most recently worked on -- unless you terminated your last session by logging out.

Please note that you have to log out after a session if you want to prevent other people from gaining access to your OnlineHomeBase account and the information contained therein on the computer you worked at. This is especially important if you access OnlineHomeBase from a computer that is not your own.

Searching

Click the SEARCH link to search all your sheets for a phrase (practical if you have many sheets). Search results are displayed the way you know it from search engines. Click on a result, and you'll be taken to the appropriate sheet with the search phrase already highlighted, so you don't have to look for it (this works in Internet Explorer only, not in Netscape). Not even Windows XP lets you do THAT.

Email Reminders

Let's say, into one of your sheets, you enter an item like "send flowers to mom". If you add the line ";;mon 9am", OnlineHomeBase will send you an email saying "send flowers to mom" on the following Monday at 9 a.m.

";;mon 9am" is called a time code line in OnlineHomeBase parlance.

Separate each note or reminder by an empty line so that the system can keep them apart.

Really!!! It is THAT easy.

In your calendar, it will never be necessary to specify a date when setting up an email reminder, since depending on in what day's box you enter the reminder, it will be sent on that day. For instance, if you go to the box for November 5 and enter "call tom;; 8am" this reminder will be sent you at at 8am on November 5. You don't have to enter the reminder as "call tom;; 11/05/03 8a".

Your notepad, however, doesn't have day boxes like your calendar. If you want to create a reminder for an immediately upcoming weekday, specifying the day alone is enough, because OnlineHomeBase will assume that you are referring to the nearest upcoming weekday if you say something like "Tue". For instance, "call Tom;; Thu 3pm" will send you the reminder on the upcoming Thursday at 3pm. However, if you would like to have the reminder sent to you on the following Thursday, you'll have to specify the exact date. Let's assume that Thursday's date is January, 29, 2004. You'd then enter the reminder as "call Tom;; 1/29/04 3pm".

Reminding other people with scheduled reminders is an effective way to ensure that they will do what you would like them to do. To schedule an email reminder for others, simply insert their email address(es) in the section to the right of the two semicolons (";;") of your reminder.

Let's say you want to remind Joe to call you next Thu at 9:30, and Joe's email address is joe@example.com. The reminder could look like this:

Joe, please don't forget to call me at 9:30AM

Joe will receive this reminder at 9AM on Thursday morning. The reminder email will be coming from your personal email address, so if Joe replies, his email reply will go to you.

You can include multiple email addresses inside a reminder or a group handle associated with a list of email addresses (see below).

Click "GROUPS" under "more functions" to create group handles (for instance, a word like "myfriends") that the system associates with a list of email addresses that you can specify. The example reminder below would be sent to all the email recipients that you have defined under "myfriends", on Monday at 9 AM:

Email Deliveries arrive in your inbox with a several self-explanatory interface offering options that allow convenient editing or deleting of the delivered item from within the delivery and the email program (i.e. without having to go to the OnlineHomeBase Web site via the browser). This is especially useful if a user sets up many email deliveries; it is convenient not to have to go to the OnlineHomeBase Web site every time a delivery needs to be edited or deleted. 

There is also a "remind-me-again-in n hours/days" function built into email deliveries.

Select this option (it's in your "account" settings) only if your email client is not able to display html-rich emails (for instance, if you still use AOL 5.0 or if you have OnlineHomeBase email your reminders to a cell phone or similar device that is not optimized for displaying html). Checking this option will cause your OnlineHomeBase email reminders to the respective email address to be sent to you as text-only emails, and not as rich emails containing html elements. OnlineHomeBase reminders by default come as rich emails so they can contain buttons and other controls enabling you to conveniently modify and edit the reminder from within the email, without having to go to the OnlineHomeBase account on the Web. This built-in modification function will be lost, if the "text-only reminders" option is selected. Note that you can use up to three email addresses, with a different text-only option set for each. Simply use the expressions "#1", "#2", "#3" in your time codes to have a reminder sent to the respective addresses.

An Email reminder will only do you good if you receive it. Your cellphone is an excellent "receiver" for email reminders since you almost always have it with you. Ask your cellphone provider for your cellphone's email address if you don't find it below (some cell phone providers may charge you a small amount for each email to your cell phone. You may want to check with your provider). Then, after logging into your OnlineHomeBase account, click "Account" to get to your account settings, enter your cellphone's email address under "mobile email address". To easily mark any of your OnlineHomeBase text entries as an email reminder, simply add to it a line starting with two semicolons and a timecode and "-c" (the "-c" designates your cellphone address). Here are some examples that show how easy and fast this is:

When you create a new sheet, you can choose from 4 different layouts for your sheet. By clicking on "options" you can set 1 of 3 different display modes for a sheet:

  • 1 column: just one column, stretching across the entire screen; similar to a Word document
  • 4-week Calendar: a 4 by 7 grid of inputboxes representing four weeks
  • 3 Columns + Calendar: the first three columns are for note style entries, the 4th column is separate into 28 boxes calendar-style
You can change the layout of a sheet even after it is created by clicking "format" inside the "more functions menu".

OnlineHomeBase was designed as a system for notes that can easily be turned into email reminders by adding a simply "time code line" like ";;wed 9am". OnlineHomeBase is not meant to compete with calendar organizers like the ones in Outlook or the Palm Pilot. However, a OnlineHomeBase work sheet can be used as a powerful and fast-to-access calendar if you choose to and select the Calendar Mode option for it (which causes the sheet to display calendar-style input fields, display 4 rows of seven input box, one for each week day; see screen shot below). OnlineHomeBase's calendar mode comes with same the powerful email reminder functionality that OnlineHomeBase was created for in the first place and that systems like Outlook and the Palm Pilot lack. Calendar sheets also allow you to create "yearly summaries" of all your calendar entries (for instance for archival or tax purposes). Below you can see a screen shot of a sample calendar sheet.

Whenever you enter a note or memo or reminder into OnlineHomeBase, that entry is also added to the sheet's archive, together with a time stamp. This is practical for looking up a note you made a long time ago and have since deleted. Of course, you can edit and delete information from a sheet's archive. Simply click the "archive" link in the OnlineHomeBase menu bar to access a sheet's archive.

Clicking on the BACKUP link allows you to easily combine the contents from all your work sheets into a single text file that you can then save as a back up on your computer's hard drive.


To notify others that a sheets has changed, simply click the Notify link in the "More Functions" menu, and enter the email addresses of the people you wish to notify (you can also specify a group handle), plus an optional comment that will be included in the email sent out. Notification emails additionally contain a link that points to the sheet that has changed. In the notification menu you can specify whether that link will display the sheet in read-only or read-write mode. "Read-only" means the notified person will only be able to view the sheet, but not make changes to it. Read/write includes the ability to view the sheet and make changes to it. Users who are given read/write access to a sheet will also have the option of using the notify function in order to notify others of changes they have made to the sheet. This allows for easing updating between participants who work on a jointly maintained sheet.

OnlineHomeBase offers two kinds of encryption:

A) SSL encryption
If you click the "Secure" link on the log-on page before entering your username and password, OnlineHomeBase will use an SSL ("secure socket layer") connection. The SSL connection encrypts your information as it travels from your browser to the OnlineHomeBase server through the Internet, making eavesdropping much more difficult. It's the same kind of protection used for transmitting credit card information online. On your OnlineHomeBase account settings page ("Account" under "more functions"), you can check the checkbox under SSL encryption if you want this protection to be always used. Some browsers occasionally experience problems with SSL connections.

B) Sheet encryption
Clicking on the ENCRYPT link (under "more functions") allows you to protect a sheet using encryption. This means that the sheet's information inside the OnlineHomeBase database is going to be encrypted using a passphrase you supply. If you lose that passphrase, OnlineHomeBase staff will not be able to help you decrypt the sheet, since the password is not stored anywhere on the OnlineHomeBase server. So make sure not to lose a passphrase when you use this feature. Use the ENCRYPT feature and its additional security for sensitive information to protect your data against hackers (for those who want to know: OnlineHomeBase uses Blowfish encryption, one of the strongest technologies available).

Once you encrypt a sheet, search and email reminder functionality will not be available for that sheet anymore.

Encrypted sheets can be used together with the sheet publishing function (see sheet sharing above).

Say, you're in a situation, where you want to log into your OnlineHomeBase account and drop off some information or create a reminder really, really quickly, without having to first open up one of your existing work sheets after logging in (you may be surrounded by people and don't want them to see the contents of a work sheet, or what work sheets you have). In this case, right after logging into your OnlineHomeBase account, simply hit CTRL-SHIFT-Q (for "QuickNote"). This brings up an empty input field. Simply enter your information or reminder here, click the "Make QuickNote" button, and it will be added to a sheet called "Quicknotes". If the sheet does not yet exist in your account it will be created automatically.

The OnlineHomeBase server is located in a world-class, secured data center with 3 levels of security, plenty of UPS backup power, a 750 kW generator and N+1 redundant HVAC systems. Every time you click the "log out" link (or press CTRL-SHIFT-L), OnlineHomeBase does a  "global log out" to better protect you. This means that you are logged out of OnlineHomeBase on all computers that were logged in to your OnlineHomeBase account. This protects you in in case you forget to log out after logging into your OnlineHomeBase account from a different computer (for instance, in a public place). Let's call this computer "A". All you need to do in such a situation, is log into your OnlineHomeBase account from any other computer ("B"), and log out again, which will log you out of OnlineHomeBase on any computer, including "A".

You can upload up to 3 MB of files into your accounts. An uploaded file will show up as a link. "rich html" sheets also allow you to upload images that will be displayed in the sheet by clicking the image icon Insert an Image. To upload file, click the upload icon Upload a file, or select "upload" under more functions.

If you delete a link to an uploaded file, it will still continue to be in your OnlineHomeBase account. Use "file manager" under "more functions" to manage your uploaded files.

Using email to add content to a sheet or to add or retrieve content from a calendar

Adding information to a sheet
To add information to a sheet, send an email to username.sheetname@onlinehomebase.com. Replace "username" with your username, and "sheetname" with the name of the sheet you want to add to. You can use "1q11.com" or "onlinehb.com" instead of "onlinehomebase.com" in the email address. OHB will add the contents of the email (including the subject line and a date/time stamp) to the top of the specified sheet. Not specifying a sheet, i.e. sending an email to username@onlinehomebase.com, will add the information to the default "my Notepad" sheet (called "my ToDos" in older accounts). To omit the subject line and the date and time stamp and only have the body of the email added to a sheet, place a "0" (zero) in the subject line. When creating reminders using OHB's reminder code notations, it is important to make OnlineHomebase.com ignore unpertinent elements of an email, like signatures. Leaving the subject line empty will cause OnlineHomeBase to only process the first line of the body of an email and ignore the rest. Thus, if you want to create a reminder like "call Pete ;; monday 0900", place all of it in a single line at the beginning of the email and leave the subject line empty.

If you include attachments in the email, they will be uploaded into the sheet, and referenced as links. To have attached images be displayed not as links but "inline" (i.e. inserted as images into the text of the sheet), select the "Display emailed images" option under "sheet properties" in "more functions".

Adding information to OHB calendars
To add entries to a calendar sheet, send an email to username.calendarsheetname__alternatepassword@onlinehomebase.com (that's two underscores before alternate password), with a subject line beginning with the word "addcal" (case-insensitive) and then stating the day(s) for which you want to make the entry.

(Alternately you can also send an email to username__alternatepassword@onlinehomebase.com and put "addcal.calendarsheetname" followed by the days in the subject line, replacing "sheetname" with the name of the intended calendar)

Replace spaces in calendar names with underscores. To avoid being affected by email signatures, OHB will process only the first line of the text inside the body of the email, and ignore the rest. "alternatepassword" is a second password you need to have specified in your OHB account, which you can do under "More functions" / "Advanced" after logging into your OnlineHomeBase sheet. This precaution is needed to ensure that not just anybody can read from or write to your calendars. Not specifying a calendar, i.e. sending an email to username__alternatepassword@onlinehomebase.com together with a subject line beginning with the word "addcal" will cause OHB to default to "my Calendar".

Example:
Let's say you want to add the entry "2000: dinner with Jack" to the default calendar ("my Calendar") for April 6. Let's assume you have specified "12345" as your alternate password, and that your username is "joedoe". You'll then send an email to joedoe.my_calendar__12345@onlinehomebase.com with "addcal 4/6" as the subject line and "2000: dinner with Jack" in the body of the email.

More examples for subject lines:

addcal tue-fri
Adds the first line in the body of the email to the nearest Tue, Wed, Thu, and Fri. If the current day is Tue, it will start with the current day. To specify next week's Tue-Fri use "next week tue-fri" in the subject line. Be careful with the addcal command since it makes it easy to add entries to many days at once.

addcal mon thu sat
Adds the first line in the body of the email to the nearest Monday, Thursday and Saturday.

addcal 5/3 12/1/05
Let's assume it's April 1, 2004. This subject line adds the first line in the body of the email under May 3, 2004 and December 1, 2005

Retrieving information from OHB calendars
To retrieve information from an OHB calendar, use the above instructions together with the "getcal" command in the subject line. For instance, for the above Joe Doe to get the calendar entries for next week Monday to Thursday from your default calendar, he'll need to send an email to joedoe__12345@onlinehomebase.com using "getcal next week mon-thu" as the subject line. OHB will send the requested information to the email address from which it received the request.

(Again, alternately you can also send an email to username__alternatepassword@onlinehomebase.com and put "getcal.calendarsheetname" followed by the days in the subject line, replacing "sheetname" with the name of the intended calendar)

Publish a sheet

Publishing a sheet assigns a Web address to a sheet, making it accesisble to others. Simply click "Publish" under "more functions". You can determine whether people will have read-only (only view) or read/write access (view and be able to make changes). You can assign easy to remember Web addresses (like www.bring-up.com/mynotes) using the following domains: onlinehb.com, iolinks.com, bring-up.com, browse-to.com.

Share sheets with collaborators

Simply click "Collaborate" under "more functions" to share a sheet with collaborators. You have the option of giving them read-only (view only) or read/write (view and be able to make changes) access. You have the option of auto-notifying your collaborators when changes are made to the sheet, or being auto-notified when others makes changes. You can track when a collaborator has last viewed a sheet. You can invite collaborators via their email address or by telling them a "share code".

Searching via email

To search all the sheets and calendars in your account (including archives), send an email to username__alternatepassword@onlinehomebase.com and use "search searchterm" as the subject line. Replace "searchterm" with the term you want to search for. OHB will send the search results to the email address from it received the email.

To only search a specific sheet or calendar, send the email to username.sheetname__alternatepassword@onlinehomebase.com and use "search searchterm" as the subject line. Replace spaces in sheet names with underscores.

(Again, alternately you can also send an email to username__alternatepassword@onlinehomebase.com and put "search.sheetname" followed by the days in the subject line, replacing "sheetname" with the name of the intended sheet)

Sending an email to username__alternatepassword@onlinehomebase.com and using "searchcal searchterm" as the subject line will confine the search to the default calendar (called "my Calendar").

Modifying or deleting reminders via reply / email

When you receive a reminder, it contains an html-based interface allowing you to edit modify or delete it.

However, when using mobile devices like the Blackberry or Treo, it is often more practical to modify a reminder by using the REPLY function.

To delete a reminder, click reply, simply type "del" in the first line, make sure to add a line return, and click "Send".

To modify just the time portion of a reminder (the line that starts with to semicolons [";;"]), click reply, then type a line start with ";;" and the modified time portion, add a line return, and click "Send".

To remove the time portion from a reminder but keep the text portion of it, click reply, type two semicolon immediately followed by a line return, then click "Send".

Instead of two semicolons you may also type two commas (semicolons are difficult to reach on Blackberries).

To modify the text and time portion of a reminder, click reply, then type the entire reminder and add two line returns (important so the system can distinguish the reminder from stuff like signature lines that might be included in the email) and then click "Send".

AutoText: creating short key phrases for quicker entry of common phrases and commands

AutoText is a powerful tool that allows typing common phrases or commands quickly by using short, substitute key phrases. One can associate any kind of replacement text with such key phrases. Each time a sheet is saved, the AutoText engine will look for the key phrases you have defined and perform the replacements accordingly.

Select "AutoText" under "more functions".

Bookmarking a sheet

Click "bookmark" under "more functions" to bookmark a sheet. Bookmarking will allow you to access a sheet with one clck from your favorites or a desktop icon, without having to enter your username and password even when you are not logged in. You can set a bookmark to display a sheet with read-only or read/write access.
